PPS Latest Update

The latest version of PPS includes some new exciting features that make your life even easier. Recently we have introduced automated appointment booking confirmations and reminders which many people are now taking advantage of.

In addition we have made significant changes to the e-mail options to enable you send single and mass e-mails to your clients. You can even send nicely formatted e-mails (like this one!) in HTML format, plus you can add your own attachments to bulk e-mails.

PPS is also now capable of updating itself! A new option on the menu allows you to automatically download and install the latest updates to the software without the need to log into our web site.

Why should I upgrade to the latest version? As many of you will know, we are constantly developing PPS with new ideas and feedback from you. If you regularly keep your practice up-to-date with the latest release of PPS then you can take advantage of the new features as soon as they are released.

Changing your broadband supplier can seem a bit of a daunting prospect. In reality you are simply a couple of phone calls away from changing to us – we do most of the work for you!

Broadband

As you may already be aware we can now supply ADSL broadband services.

We have several options available to suit your needs and transferring from your existing broadband provider is easy and painless!

Our broadband prices start from just £25 per month+vat. With a one-off set up fee of £50+vat.

We have a range of broadband products available to suit various needs and we can also test your phone line for you to find out how fast your broadband is likely to be before you place your order with us.

Some other companies offer “very low monthly prices and no connection fee”. We cannot always compete on price with these companies, but in our experience they sometimes do not always provide reliable connections with consistent performance. In addition, the technical support departments of these companies can be very difficult to contact by phone. This is where we are different. Our broadband service is a fast, reliable, “no frills” service and all your technical support is handled by one of our team members here – most of whom you probably already know!

We can also offer an e-mail service for an extra monthly fee. However, there are other e-mail services from other suppliers, for example Hotmail, Gmail or UK2. Some of these e-mail providers offer a free e-mail option for lower volume users. In addition you may also have an existing e-mail service associated with your own domain name if you own one.

Don’t forget also that we can supply and configure your broadband hardware such as routers or modems if required.

If you are using “PPS Sync” to synchronise more than one PPS system, then using our broadband services will make this process more reliable and faster. This is because all your transactions that are transferred between your sites and our central secure PPS Sync database are on the same internet network.

Training is important and doesn’t always cost as much as you might think. To attend our 1 day course prices start from £125.00 with a discount for additional members of the same practice attending. Call Handling

Have you ever missed calls due to being busy or unavailable?  Now, in-conjunction with a call handling centre we are able to bring you a call handling service. 

The call centre actually uses PPS to make appointment bookings which are then automatically synchronised with your own system.  As long as you have a broadband connection then there are no further costs for additional hardware or software.  All you pay is for the service itself which costs from as little as £80 plus VAT a month.

In addition to cover when you are not available the service can also handle your overflow.  This means that your clinic could have your lines set to ring the service when your line is engaged or when it is not answered in 5 rings.

A further benefit is that the service can also be used to make follow up and/or reminder calls.  As they also have a copy of your appointments diary they can also handle client/patient queries as well.

Our call handling centre already works with clinics using PPS and therefore has the experience and skills in dealing with your type of patient and clients.  This ultimately provides a seamless link between them and yourself and enables them to properly and professionally act on your behalf.

PPS – what’s in store for 2007?

In order to build on the success of PPS in 2006 we are continuing to develop and evolve the product and services.

After 8 years of continuous development and evolution there is more development work that we are undertaking now than ever before!  Just some of the developments are listed below.

Dental Charting

To compliment PPS for the dental market we are currently developing a Dental Charting module.  This will enable fast and efficient billing, treatment planning and clinical note taking.

Jayex Message and Display Boards

Over the last couple of months we have been working with Jayex who supply patient calling and message display boards to clinics.  PPS is now fully integrated with the Jayex message boards meaning that patients can be called directly from the PPS Appointments Diary. In addition, Jayex also offer a patient self check-in system that also works with PPS. We will feature Jayex in more detail in our next newsletter. PPS Outlook Sync

Further development work is being undertaken with PPS Outlook Sync so that you will soon be able to add appointments to your PDA or phone and synchronise back to PPS.

Treatment Plans

This facility will allow practitioners to plan their treatments.  This can involve setting up the appointments required, costs involved and treatments.  This plan can then be printed if necessary and given to the patient.

Preferences

You will have already seen the new Preferences section within the Client Details screen.  These preferences are being extended into billing. Amongst other things you will be able to set spend limits for 3rd parties/clients, set warning flags if these are about to be exceeded and enter billing preferences on a client by client basis.

PPS is your product. All our new ideas come from people who use the software. Please keep your ideas coming in.

PPS goes all mobile!

Neil Ingram writes:

“I am a registered osteopath working in Brussels, Belgium. I am the sole practitioner in 3 clinic locations, two of which are situated in fitness centres.

Making the switch

“PPS is an integral part of my daily clinic routine whether it is patient note taking, accounting or emailing treatment notifications. My working week is pretty hectic because I do not spend a whole day in any one clinic. So this means I need to be mobile.

“PPS has solved the nightmare that I used to have and I am sure you are sat there nodding you heads with me when I say “A5 patient case cards”. The amount of time I used to spend getting all my patient notes together for the day was ridiculous. So straight away PPS solved this allowing me to have all my data with me at all times.

“My laptop was getting impractical to carry around everywhere I needed to be. As I mentioned earlier I work in a fitness centre so I need to be able to watch my patients training routine plus have the ability to take notes. So I can see if it is associated to the problem they are presenting with. So I changed my laptop for an “Ultra Mobile PC” (UMPC) which is a small tablet PC (see the inset picture to the left) with a 7” screen.

“The UMPC as made an excellent product (PPS) even better.

“Now when I am taking notes in PPS. I just click in the text box with my tablet pc stylus and the floating tip (pictured above) appears. I can then write the necessary information. I was never a very good typist anyway and I was always conscious of typing notes in front of my patients. The area on the floating tip expands as you write and the recognition is outstanding. I downloaded the medical dictionary for Windows Tablet PC edition which makes life easier when inserting medical terms. Body chart annotation is a breeze with the stylus. Previously when using a mouse I found it difficult to get the exact annotation I wanted on the chart. Now I can draw exactly what I want added to the patients chart.

Did I mention the touch screen?

“A UMPC has a touch screen so you can tap your way around PPS using your finger. As we know for example if you have just finished treating a patient and you want to book them in for a consultation in a week’s time. The quick and easy interface of PPS allows this action to be carried out without having to type any text. On a UMPC all the steps taken to book the appointment can be done using your finger.

Camilla Atkinson – Sales Administration

Camilla has been with us since June 2006 and works in our sales team. She is responsible for handling sales enquiries and for organising all our training courses. She also deals with all the routine administration and paperwork (which is getting more all the time!) and handles all your payments and support renewals.

Outside work Camilla enjoys 10 pin bowling (unlike the rest of us she has played for the county!). In addition she is very involved in a local charity group (originally formed by her sister) that raises funds for, and organises weekly social events and adventure holidays for adults with slight learning disabilities.

Sales admin is now an important busy role within our company. Camilla is the friendly voice you will normally speak to on our sales line!

There are still some dubious companies around posing as official data protection companies offering to register you for a fee that is higher than the official data protection fee.

Data Protection

What is it?

The Data Protection Act requires all organisations which handle personal information to comply with a number of important principles regarding privacy and disclosure.

The Act states that anyone who processes personal information must comply with eight principles. These state that information must be:

·          Fairly and lawfully processed

·          Processed for limited purposes

·          Adequate, relevant and not excessive

·          Accurate and up to date

·          Not kept for longer than is necessary

·          Processed in line with individuals' rights

·          Secure

·          Not transferred to other countries without adequate protection

The Act also allows people to find out what personal information is held about them by. This could be on computer or in some paper records, and includes credit reference details. If members of the public think they're being prevented from seeing information they're entitled to, they can ask us to help. As the Information Commissioner's Office, we're responsible for looking after their rights and making sure personal information isn't misused. Complaints are usually dealt with informally, but if this isn't possible, enforcement action can be taken.

All organisations must make sure that they comply with the Data Protection Act. We provide guidance including good practice notes about how to comply and you can also find out anything you need to know about your legal obligations under the Act.

The data protection act is looked after by the “Information Commissioner’s Office. They have an excellent web site that provides all the information you need. The above text has been copied from their web site.

Does the Data Protection Act apply to me?

The general guidelines for this are that if you are storing any information about your clients that is used for anything other than sales or marketing purposes then you need to be registered. With your general use of PPS this would normally mean that you will need to be registered – especially if you are storing clinical notes or appointment details etc.

How much does it cost?

The fee is £35 per year – this is payable directly to the information commissioner’s office.

How do I register / notify?

You can notify on-line directly via the web site. You can also download or request a form to complete and send off with your payment if you prefer. When you fill in the form, you have to declare yourself as the “Data Controller”. This is the name of the personal ultimately responsible for the data that you are storing.

Even if you do not need to be registered for data protection, we think that it is a good idea to register anyway. This can be done quickly on-line and there is a simple small annual fee to pay after that. Not much to pay for peace of mind, and to be able to tell your clients that their personal details are safe with you because you are registered.
