PPS Latest Version
The latest version of PPS
includes some new exciting features that make your business even more
profitable.
This latest release includes
new options for automating your appointment booking confirmations and
reminders, plus a replacement to the existing mail shot / mail merge
options.
One of the key new features
allows you to select for each of your clients how best to contact them for
different purposes. For example you can now select for all of your clients
that have a mobile phone number to automatically send them an SMS text
message with confirmation of their appointment details each time they book
an appointment.
In addition, you can now take
full advantage of the power of e-mail. New e-mail options allow you to use
professionally formatted “HTML”-style emails to send to one,
all, or a selection of your clients. This could include your practice
information leaflet or newsletter (like this one!).

Why should I upgrade to the latest version? As many of
you will know, we are constantly developing PPS with new ideas and
feedback from you. If you regularly keep your practice up-to-date with
the latest release of PPS then you can take advantage of the new feature
as soon as they are release.

PPS has the option to
set up an SMS account. Once you have done this you can go to the SMS
provider’s web site to purchase your SMS credits

SMS Text Messaging
SMS Text Messages are an excellent way of keeping in touch with your
clients. The latest release of PPS includes new features that enable you to
automatically send out appointment booking confirmations and appointment
reminders a few days before the appointment.
Several PPS users have commented recently that by using SMS messages in
this way they have cut down on the amount of missed appointments. One
clinic has said: “Our DNA rate
has reduced by up to 30%. This more than pays for the cost of the SMS
messages”.

You can set up your SMS message account using the Tools
menu option in PPS. Once you have your account set up you can set up your
client preferences so that each of clients that have a mobile phone can
receive an appointment booking confirmation or reminder.

PPS Training
Attending a PPS Training course will not only benefit you but your business
too! Why not join us at one of our many training courses at key locations
across the UK and Ireland, or
invite us to host an on-site training consultancy day at your practice. You will learn faster and more effective
ways of using the software and you could make your business more

Our New Offices!
As
our team continues to expand it was with great relief that we finally
relocated to larger offices in the same business park.
Moving
all the equipment took just one Sunday afternoon in July, thanks to the
Directors, as the rest of the team found somewhat fabricated excuses to be
unavailable! The only slight downside was that it took almost 4 days for BT
to redirect our telephone lines!
We
have now settled in and the increased office space means that we can
accommodate further additions to our team sometime in the New Year.
Here’s a small photo on
the left showing you one view of our new office space taken from our
reception area.

Our new offices have gone down well with the whole team
– we have a large, open-plan relaxed working environment. The down
side is that there is also plenty of room for paper airplanes, magnetic
darts, ten pin bowling (with empty water bottles) and pressure is
mounting for an air hockey table!

PPS - The Future?
As you will know PPS is
continuously being developed. Here’s a test of what’s in
store over the forthcoming months.
Client Preferences
We are working on further preferences that include Accounts Billing
preferences, and preferences for clinical notes recording.
Symbols
This is a suite of clinical notes “symbols” that can be
incorporated into your “text-based” clinical notes. Using
symbols instead of long hand text has the advantage of not only saving time
in writing your notes, but it is also saving time when reading/reviewing
them!
Better Links
We are also introducing better
links between your diary and your clinical notes. This will enable you or
your receptionist to pre-select which treatment episode a client is
attending for. This will save the practitioner valuable time during the
consultation.
Reporting
New reports will allow you to
take an overview of your practice performance. There will be a pre-defined
statistics report that will give you a consolidated practice overview, and allow
you to compare your current figures with previous results.
We are also working on some
new and exciting “forecasting” reports. This will allow you to
look at your forecast revenue based upon how full your diary is for the
next few weeks or months!
Charts and Diagrams
Improvements to the current comprehensive chart drawing options. This
will allow improved “freehand” drawing and text labeling
options.
To coincide with our introduction into the dental market, we are
currently developing a “Dental Charting” screen. This will be
in addition to the current Body Chart facility.

PPS is your product. All our new ideas come from people
who use the software. Please keep your ideas coming in.

A Step Forward with PPS
“Our biggest problem was diary management
and storage of patients’ records”, explains principal
podiatrist, Sara Boardman.
“PPS seemed to be the ideal solution, as
we could configure the user diaries for a variety of appointment
types/durations and also specify in which room the practitioner is to hold
each surgery. We set up PPS on
our network, which allowed patients’ records to be accessed anywhere
in the clinic, as well as the appointments diaries.
“When we established our insole PRO® service (foot scanning and CAD/CAM
orthotics fabrication) we required to set up biomechanical assessment
clinics operated by two of our podiatrists. PPS allowed us to configure these
appointments with ease. This
part of the business is expanding.
We are setting up in a number of locations and also providing
scanning and orthotics services to other private practices. With the addition of
a second Foot Clinic 10 miles away we needed to set up PPS which
allowed access from multiple locations.
“PPS Sync was the answer. Taking only a few minutes to set up,
PPS Support was on hand to ensure that the installation was configured
correctly. We now have two
systems which synchronise databases using encryption over the internet.
“Due to the volume of telephone calls, we
have now set up a PPS system at call handling bureau and have trained a
team of 7 to take calls and make appointment bookings from 08:30 to 18:00,
five days per week.
“This has been a spectacular
success! Calls are never
missed, enquiries and bookings are handled efficiently and PPS updates
constantly to ensure that double-bookings are avoided. Messages between podiatrists and
call handlers can be sent using PPS, and the holding list is a particularly
useful feature. This is a far
more cost-effective solution to having a full-time employee answering calls
and making appointments. Our
practice manager is now able to concentrate on other areas of the business,
such as billing (a PPS feature) and marketing.”

The St Andrews & Cupar
Podiatry Practice has been established for 16 years, and in that time has
grown to a compliment of 3 podiatrists, with two foot clinics and several
thousand patients.

Miles Harvey - PPS Support
Miles has been with us since
March 2006 and heads up our support department.
Miles has a background in
practice management with a Podiatry practice in Tamworth Staffordshire so
he has a good all-round knowledge of how a practice works from the point of
view of both the admin/reception staff and the practitioner.
Miles is responsible for
managing the support desk on a daily basis. This includes managing our programme
of future improvements to our support services.
In his spare time, Miles enjoys
spending time with his partner Karen, canoeing, rock climbing and messing
about with cars (not always successfully!).
Miles has already proved to be
a great asset to our company, and has settled in well. He already holds top
place on the office leader board for blue-tac™
modeling and has sole responsibility for the bacon sandwiches on Friday
mornings!

policy of not keeping you waiting with on-hold music! If we are busy
